Choose cloud storage if you have a smaller library, want minimal maintenance, or rely on Google Workspace or Microsoft 365 for real-time collaboration. Choose a NAS if your data is large or growing, local speed matters, or you want control over the storage hardware. Use both when the NAS holds your working library and cloud storage handles selected collaboration folders or an independent off-site copy.

A network-attached storage device keeps that copy on hardware in your home or office. Cloud storage keeps it in the provider’s infrastructure and makes it available through an internet connection.

When Is Cloud Storage the Better Choice?

Cloud storage is the easier starting point when you want to create an account, install an app, and begin saving files without buying or maintaining hardware.

The provider handles drive replacement, infrastructure availability, and capacity provisioning. You remain responsible for account security, user permissions, file-retention settings, and understanding what the service will or will not recover.

This arrangement works well for people who do not want to manage storage pools, system updates, hardware alerts, or future drive replacements.

Real-Time Work Across Different Locations

Cloud storage has a clear advantage when several people need to edit the same documents, spreadsheets, or presentations. Google Workspace and Microsoft 365 combine storage with browser-based editing, comments, version history, and simultaneous collaboration.

A NAS can share files with remote users, and it does not reproduce the complete Google Docs or Microsoft 365 collaboration experience.

Cloud storage also makes sense for a mobile user who frequently changes locations and does not have a reliable home or office upload connection. Remote NAS access is only as fast and reliable as the network where the NAS is installed.

When Cloud Storage Stops Being the Easy Answer

A small subscription may be inexpensive, and the calculation changes as the library grows, more users need paid accounts, or higher retention and security features require a more expensive plan.

Cloud storage is not inherently safer than a NAS. Account compromise, excessive sharing permissions, accidental deletion, and synchronized ransomware can still affect accessible files.

Enable multi-factor authentication, review sharing permissions, and confirm how long deleted or overwritten files remain recoverable.

When Is a NAS Better Than Cloud Storage?

A NAS makes more sense when several devices produce large amounts of data, local transfer speed matters, or recurring cloud capacity charges are becoming difficult to justify.

  • A family backing up photos and videos from several phones
  • A photographer managing multi-terabyte RAW libraries
  • A video editor storing project files, proxies, exports, and archives
  • A household that wants one shared location for Mac, Windows, Android, and iOS devices
  • A small team working with files that are too large to upload and download repeatedly

A NAS provides one local destination for these files. Increasing the installed capacity does not increase a monthly storage subscription, although expansion remains limited by the model’s drive bays, supported drive sizes, RAID options, and maximum capacity.

A 10GbE port does not guarantee 1.25 GB/s from the storage pool. Mechanical drives, RAID configuration, the client, file size, and simultaneous workloads all reduce the result. SSD storage and several active users are far more likely to benefit from the full network capacity than a single four-drive HDD pool.

Remote access follows a different rule. When you download a file from a NAS outside your home or office, performance is limited by the NAS location’s upload speed and the remote location’s download speed.

Local Files Remain Available During an Internet Outage

A NAS does not need an internet connection for authorized devices on the same local network to access stored files. If the router, local network, NAS, and client device remain powered, local work continues during an internet outage.

Internet access is still required for remote connections, third-party cloud synchronization, online updates, and services that depend on external accounts.

Hardware Ownership Comes with Maintenance

Keeping files on your own hardware gives you control over storage location, accounts, permissions, and retention. It also makes you responsible for maintaining the system.

Plan for:

  • Compatible storage drives, confirmed against the current UGREEN compatibility list
  • Drive-health alerts and replacement
  • System and application updates
  • Strong passwords and multi-factor authentication
  • A UPS for controlled shutdown during power loss
  • An independent backup of important data

Should You Use a NAS and Cloud Storage Together?

Do not need to force every file into one platform. A hybrid setup works best.

Keep the Working Library on the NAS

Use the NAS for large files, computer backups, phone media, archives, and data that several local devices need to access.

Use Cloud Storage for Active Collaboration

Keep current documents, shared client folders, travel files, and deliverables in Google Drive, Microsoft OneDrive, or Dropbox when browser access and distributed collaboration are more valuable than local speed.

You do not need to place the entire NAS library in a consumer cloud account. Synchronize only the folders that benefit from cloud access.

Keep an Independent Off-Site Backup

Irreplaceable files need a recoverable copy outside the NAS location. That copy can live in a cloud-backup service, a second NAS at another location, or offline media stored elsewhere.

For example:

  • A family can keep its complete photo library on the NAS, share selected albums through the cloud, and back up the original files off-site.
  • A creator can work from the NAS, deliver selected files through cloud storage, and back up completed projects separately.
  • A small team can keep large assets on a local NAS while collaborating on documents through Google Workspace or Microsoft 365.

Is a NAS Cheaper Than Cloud Storage?

Cloud storage costs less to start because there is no enclosure or set of drives to purchase. It can remain less expensive for a small library, particularly when the subscription includes collaboration tools you already use.

A NAS often becomes more economical for a multi-terabyte library stored over several years. Include drive redundancy, electricity, backup storage, a UPS, possible drive replacement, cloud user licenses, and future capacity growth before comparing totals.

Can a NAS Replace Google Drive, OneDrive, or iCloud?

A NAS can replace centralized file storage, device backups, shared folders, user permissions, and many remote-access functions.

It does not replace every cloud feature. Google Workspace and Microsoft 365 remain stronger for simultaneous document editing. UGREEN NAS supports selected transfers and synchronization with Dropbox, OneDrive, and Google Drive, while direct iCloud Drive integration is not currently listed.

Is a NAS Safer Than Cloud Storage?

Neither option is inherently safer.

A NAS keeps files on hardware you control, while cloud providers manage the physical infrastructure. NAS security depends on updates, account protection, permissions, network configuration, and backups. Cloud security depends on account protection, sharing controls, retention settings, and the provider’s recovery functions.

The stronger design uses multi-factor authentication, limited permissions, current software, recoverable versions, and an independent backup.

Should I Back Up My NAS to the Cloud?

Important NAS data needs an off-site backup, and cloud backup is one way to create it. An off-site copy protects against events that can affect the entire NAS location, including theft, fire, flooding, and major hardware damage.

Select a backup method with appropriate version retention, consider immutable storage for high-risk data, and test file restoration periodically. Two-way synchronization without protected history is not sufficient.
